This Privacy Policy explains how and why we, HPT, a Sentinel Technologies company (“Sentinel”, “we”. “us”), collect, use and disclose your personal information when you visit https://www.sentinel.com/ and related sites (collectively, our “Website”), use our products and services (our “Solutions”), or otherwise provide personal information to us.
Sentinel is a business-to-business provider of Solutions. As used in this policy, “you” means visitors to our Website (“Visitors”) and individuals (“Customer Representatives”) acting on behalf of our business entity customers (“Customers”) that use our Solutions or interact with us as part of our business relationship. In some instances, an individual may be both a Visitor and a Customer Representative.
By accessing our Website and using our Solutions, you consent to us collecting, using, and disclosing your personal information in accordance with this policy.
This policy does not apply to any information collected by any third party, including our Customers.

1. Information We Collect
A. Information Voluntarily Provided. We may collect your personal information in different ways depending on the business context and the purpose for which it is collected.
(i) In using our Solutions (including the customer portal), we may collect the information below from Customer Representatives:
- Contact and billing information, such as your name, email address, phone number, physical address, job title, location, payment information or other similar information.
- Login information, such as your username and password.
- Information you provide to us during our delivery of professional or support services, including through service tickets, such as IP addresses, MAC addresses, host names, contact information, and other information you share with us.
(ii) By accessing our Website, we may also collect from Visitors the information below, including through automated data collection technologies:
- Information you provide to us when you submit forms, such as requests for being contacted, requests for access to documents or tools, application forms, feedback, or support.
- Information about how you access, use, and interact with our Website.
- Any other information you voluntarily provide to us.
(iii) If you apply for a position at Sentinel we will collect personal information to allow us to consider your application or to process your hiring and to comply with state and federal law and regulations. We and our service providers may also collect voluntary demographic data to obtain general insights about our applicants. You may elect to not provide voluntary demographic data and it will not affect your job application in any way.
B. Information Automatically Collected. As you navigate through and interact with our Website or use our Solutions (including the customer portal), subject to your settings and choices as discussed in this Privacy Policy, we may use common data collection technologies to collect certain statistical information.
We collect log data for users of our Website, which may include data about your device, internet connection, browser type, internet service provider and operating system. We process and analyze this information in order to build, run and continue to improve our Website.
When we perform support services, we may have access to the user’s geolocation data.
The processes we use for automated data collection may include:
- Cookies. Cookies are small data files that certain websites write to your hard drive when you visit them, and they record and store your information. A cookie file can contain information such as a user ID that the site uses to track the pages you have visited. The Website may use cookies to collect this type of information to determine the usefulness of our Website’s information to our Visitors and to see how effective our navigational structure is in helping users reach that information.
- Web Analytics. We also collect some information (ourselves or using third party services) using web analytic tools. We use third-party services that use tracking technologies to capture aggregate usage and volume statistics about online activities over time and across our Website and other online services. We use Google Analytics (GA4) to identify the frequency of use of certain areas of our Website and to identify preferences. - Recordings. From time to time our interactions with you will be conducted over the telephone or video-conference, and such telephone calls and video conferences may be recorded by us or our third-party service providers.
- Social Media. We operate social media pages on third party networks and have social media links on our Website. When you visit or link to our social media pages, data is processed both by us and the applicable social media provider. Social media providers are unaffiliated with us, and we are not responsible for the content or privacy practices of social media providers. Social media providers have their own terms of use and privacy policies, and we encourage you to review those policies whenever you visit their websites or interact with their platforms.
C. Using Chat Features. Our Website and the customer portal may now or in the future utilize a chat feature to provide support. Use of the chat feature is completely voluntary. Chat sessions are recorded and used by both us and our chat service provider. We may now or in the future provide support utilizing artificial intelligence and natural language processing to understand customer questions and automate responses to them, simulating human conversation. If you do not consent to these terms, please do not use the chat feature and contact us via email.
D. No Use by Children. Neither our Website nor Solutions are meant for use by children. We do not collect age data from our users. However, if we obtain actual knowledge that a user is under 16, we will take steps to remove that user's personal information from our databases.
E. Controller versus Processor. Any personal information that we collect or have access to on behalf of our Customers is processed by Sentinel as a “processor” (or “service provider” as defined under some privacy laws) and not as a “controller” or “business”. Sentinel’s processing of Customer Personal Information may be governed by a separate data processing agreement between Sentinel and such customer containing provisions required of processors (or “service providers”) under the laws applicable to the business customer. If you have concerns regarding your personal information that we process on behalf of a Customer, please direct your concerns to the Customer.
2. How We Use Your Information
We collect and use your personal information so that we can:
- Provide, operate, maintain, personalize, and promote our Website and allow you to access and use our Website.
- Provide Customers with our products and Solutions, including processing orders, delivering products and services, sending communications about our products and Solutions, and providing maintenance, support, and professional services.
- Manage our relationship with our Customers, including billing, account, delivery and subscription management.
- Improve our Solutions and develop new products and services.
- Improve our marketing using data analytics.
- Secure our Website and Solutions and detect activities that may be unlawful or violate our policies.
- Carry out obligations and enforce our rights from any contracts entered into between you and Sentinel, such as license agreements or terms of use, including communications related to payments and changes to our terms, conditions and policies.
- Comply with our legal obligations and assist government or law enforcement agencies or regulators when requested.
- Consider applications for positions with Sentinel, derive general insights about our applicants, and complete the hiring process.
- Undertake other activities that you may consent to from time to time.
We use your mobile number to send text messages for authentication purposes or to communicate service-related announcements when it is necessary (for example, if we must temporarily suspend our service for maintenance).
3. Legal Grounds for Processing Your Information
We rely on the following legal grounds to process your personal information:
- Consent. Some uses of your personal information as described in this Privacy Policy are subject to your consent, such as marketing email communications.
- Performance of a contract. We may need to collect and use your personal information to enter into a contract with you and to perform services and deliver products and services that you request.
- Legitimate Interests. We may use your personal information for our legitimate interests to provide and improve our products and services. We may use technical information as described in this Privacy Policy and use personal information for our marketing purposes consistent with our legitimate interests and any choices that we offer or consents that may be required under applicable law.
- Compliance with Legal Obligations. We may use your personal information as necessary to comply with our legal obligations.
4. How We Store and Retain Your Information
Sentinel has security measures, such as firewalls, in place to attempt to protect against the loss, misuse and alteration of your user data under our control. While we cannot guarantee that loss, misuse or alteration to data will not occur, we take many precautions to prevent such unfortunate occurrences. Any other particularly sensitive information, such as your credit card number, collected for a commerce transaction is encrypted prior to transmission.
You are ultimately responsible for the security of your login credentials. You may not share your login credentials with anyone else, including colleagues or friends. You should log out of your browser at the end of each computer session to ensure that others cannot access your personal information and correspondence, especially if you share a computer with someone else or are using a computer in a public place like a library or Internet cafe.
We retain the personal information we collect for so long as reasonably necessary to fulfill the purposes for which the data was collected and to perform our contractual and legal obligations. We will retain personal information required to comply with privacy requests, to manage active accounts, as required by law, in order to resolve disputes, or to enforce our agreements. We may retain copies of your personal information for disaster recovery purposes, to prevent fraud or future abuse, or for our legitimate business purposes.
Notwithstanding the generality of the foregoing, we store email addresses and other contact information until the user requests to be unsubscribed.
5. With Whom We Share Your Information
We may transfer or disclose your personal information to our affiliates and investors. We may also transfer and disclose your personal information to other third parties as follows:
- To our service providers that we engage with to conduct our business. These service providers may assist us in business functions that include delivery and improvement of our Website and Solutions, managing our relationship with you, auditing and accounting, professional services, security, payment processing, delivery, marketing assistance, information technology consulting, collections, and hiring. If you use any chatbots on our Website or Solutions, your communication may also be shared with the third-party providers of the functionality of those chatbots.
- To law enforcement agencies, courts, and regulatory authorities to respond to requests, enforce our rights, or defend ourselves against legal claims.
- In aggregated, anonymized, and/or de-identified form that cannot reasonably be used to identify you.
- In connection with any merger, sale, change in control, bankruptcy, divestiture, dissolution or reorganization of our business.
- If we otherwise notify you and you consent to the sharing.
6. Your Privacy Rights, Choices and Disclosures
A. General. This Section A is subject to specific disclosures on privacy rights set forth below in Section B for individuals located in the European Union, the United Kingdom or another jurisdiction that has adopted laws substantially similar to the European Union’s General Data Protection Regulation (GDPR), and Section C for residents of California (or another state that has adopted laws substantially similar to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”)).
We are committed to facilitating the exercise of your rights granted by the laws of your jurisdiction and to which we are subject, which may include the right to request the correction, modification or deletion of your personal information and the right to opt out of the sale or sharing of your personal information (as applicable). We will do our best to honor your requests subject to any legal and contractual obligations, or if we believe the change would violate any law or regulatory requirement, cause the information to be incorrect or impose an undue hardship on us due to technical requirements. We may deny your deletion request if retaining the information is necessary for us or our service provider(s) to:
- Complete the transaction for which we collected the personal information, provide a service that you requested, take actions reasonably anticipated within the context of our ongoing business relationship with you, or otherwise perform our contract with you.
- Detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, or prosecute those responsible for such activities.
- Debug products to identify and repair errors that impair existing intended functionality.
- Comply with the California Electronic Communications Privacy Act (Cal. Penal Code § 1546 et. seq.) and similar laws.
- Enable solely internal uses that are reasonably aligned with consumer expectations based on your relationship with us.
- Comply with a legal obligation.
- Make other internal and lawful uses of that information that are compatible with the context in which you provided it.
You may opt out of receiving electronic marketing communications from us by clicking on the “unsubscribe” link on the communication or contacting us at privacy@sentinel.com. Some non-marketing communications may not be subject to a general opt-out, such as communications about transactions, disclosures to comply with legal requirements, software updates and other support-related information.
Subject to local law, you may have additional rights under the laws of your jurisdiction regarding your personal information, such as the right to complain to your local data protection authority and the right to appeal our decision regarding a data access request.
You may be able to disable Cookies through your browser settings, but if you delete or disable Cookies, you may experience interruptions or limited functionality in certain areas of the Website.

B. Your European Privacy Rights and Choices. If you are located in the European Union, the United Kingdom or another jurisdiction that has adopted laws substantially similar to the European Union’s General Data Protection Regulation (GDPR), your privacy rights include the following:
- Transparency and the right to information. Through this policy we explain how we use and share your information. However, if you have questions or need additional information you can contact us any time.
- Right of access, correction, restriction of processing, erasure. You may contact us to request information about the personal information we have collected from you and to request the correction, modification or deletion of such personal information, which requests we will do our best to honor subject to any legal and contractual obligations.
- Right to withdraw your consent at any time. When we process your personal information based on your consent, you have the right to withdraw it at any time.
- Right to object at any time. You have the right to object at any time to receiving marketing or promotional materials from us by either following the opt-out instructions in commercial e-mails or by contacting us, as well as the right to object to any processing of your personal information based on your specific situation. In the latter case, we will assess your request and provide a reply in a timely manner, according to our legal and contractual obligations. - Right not to be subject to an automated decision, including profiling. We do not make automated decisions using your personal information that may negatively impact you.. California “Shine the Light” Information-Sharing Disclosure: California residents may request a list of all third parties with respect to which we have disclosed any information about you for such third parties’ direct marketing purposes and the categories of information disclosed. If you are a California resident and want such a list, please send us a written request by email to privacy@sentinel.com with “California Shine The Light Rights” in the subject line.
Do Not Track Disclosure. Our Website does not respond to Do Not Track Browser signals.
7. Users Outside the United States
The Website and the Solutions are controlled and operated in the United States. If you are an individual from the European Union, Canada or any other jurisdiction with laws or regulations governing personal information collection, use, and disclosure that differ from United States laws, please be advised that we may store the information we collect in the United States which is not deemed an “adequate jurisdiction” by the European regulatory authorities. By visiting our Website or using our Solutions, you are consenting to the transfer of your information from your jurisdiction to the United States.

Your continued use of our Website or Solutions after any changes to our Privacy Policy indicates your agreement with the terms of the revised Privacy Policy. The date of the last update of the Privacy Policy is indicated at the top of this Privacy Policy.
